IT support for tax advisers and law practices

WVM-IT looks after the IT of tax, law and audit practices in Austria and Germany: workstations, the DATEV or practice-software environment, client data and the backups behind it. In a practice, IT is not a tool but the archive. What sits on the servers is other people's assets in numerical form — and it is subject to deadlines nobody can suspend. That gives technology a different role than in a business that switches the computers off at night: it has to work demonstrably, not just apparently.

What is different in a practice

  • Retention periods apply to data, not to hardware. Replacing a server must not end the readability of old years — including years held by software that no longer exists.
  • Client separation is an obligation, not a filing habit. Who sees which clients has to be configured and, if challenged, demonstrated.
  • The workload is seasonal. Between year-end accounts and the spring deadlines every day of downtime costs double — and that is exactly when seasonal staff work alongside, who will be gone by summer.
  • The practice software dictates the environment, not the other way round. DATEV, BMD and comparable systems impose requirements on the Windows version, the terminal server and permissions that cannot simply be done differently.
  • Document exchange with clients is largely digital today. An unencrypted attachment containing payroll data is not a minor lapse but a reportable incident.

Practice software and what it assumes

DATEV, BMD, RZL and comparable systems almost always run via a terminal server or a central installation. We do not operate the specialist software itself — the vendors and their partners do that — but everything underneath it: server, Windows version, permissions, network, backups, printers and secure external access. We state that boundary in advance rather than explaining it during an incident.

Where it usually starts in practices

Not with an attack but with habit: one shared login because it is quicker. A backup on a disk in the same room. An unencrypted laptop holding client data that travels to the home office. The former employee whose account is still active. Every one of these is fixed in an afternoon — but only once somebody writes it down. That is exactly what the €490 IT security check is: an audit with a written report and a list sorted by urgency.

Do you look after the DATEV environment itself?

We run everything underneath the specialist software: server, terminal server, Windows, permissions, network, backups, printers and external access. The specialist software itself stays with the vendor or its partner — that is not an excuse but a clean boundary. We state it up front so that during an incident it is clear who touches which part, and we liaise directly with the vendor's support where needed.

How do you handle encrypted exchange with clients?

Through a secured area where the client deposits and collects documents, rather than through email attachments. Which solution fits depends on what your practice software already provides — frequently the obvious option is present and simply not switched on. We check that first, before proposing anything additional.

What happens to old data we are required to retain?

The obligation applies to readability, not to the device. Before every server replacement we establish which archives travel with it and whether they can still be opened afterwards. Where that depends on an old software version, we record it in writing rather than discovering it during the move.

There are three of us. Is ongoing support worth it at all?

With three workstations, hourly billing is often cheaper, and we say so even when it earns us less. Ongoing support becomes sensible as soon as a server, a terminal server or a deadline calendar depends on it — in other words, wherever one lost day in spring costs more than a year of support.
