WVM-IT looks after the IT of medical, dental and therapy practices in Austria and Germany: workstations, the practice management environment, separate networks for medical devices, access rights and the backups behind them. A practice has two properties that are demanding in combination: it processes the most sensitive category of data there is, and it cannot stand still between eight and twelve. Together that means technology here does not need to be spectacular but reliably dull — and that every change happens outside consulting hours.

What is different in a practice

  • Health data is a special category of personal data. Who saw it and when has to be traceable — that is not a recommendation but part of the accountability obligation.
  • Medical devices sit on the network and often cannot be updated. They therefore belong in a separate, segregated network rather than with the workstations.
  • An outage has a time of day. Between consulting hours an hour of maintenance goes unnoticed; at nine in the morning the same hour is a full waiting room.
  • The practice management software is the centre. It determines which Windows version, which server and which connections are permissible at all.
  • At reception there is a screen patients can see. Screen locks, privacy filters and sign-in are data protection here, not convenience.

Practice management software and its limits

The specialist software stays with its vendor — we run everything underneath: servers, workstations, network, permissions, backups, printers and card readers. We draw that line in advance because it decides who gets called during an incident. For connections to telematics or billing infrastructure we follow the vendor's specifications strictly rather than inventing a variant of our own.

The most common finding in practices

One shared login for the whole team, because it is quicker at reception. That makes every log worthless — you can show that a record was opened, but not by whom. The second common finding: a device that has sat on the same network as the workstations for years and no longer receives updates. Both are solvable without new hardware. The €490 IT security check examines exactly these points and delivers a list sorted by urgency, not by effort.

The one-off IT security check costs €490 and ends with a written report. Ongoing support costs from €29 per workstation and month, a managed server from €89 per month, monitored backups from €49 per month. Setting up a firewall and separate networks starts at €690. Frequently asked questions

May an external provider access our systems at all?

Yes, on the basis of a data processing agreement under Article 28 GDPR. It sets out what we may access, how it is logged and what happens to credentials and data when the contract ends. We conclude it before the first access, not afterwards — and we do not need access to patient records, only to the technology underneath.

Can you work without interrupting the consulting hour?

For most work, yes: updates, monitoring and backups run outside consulting hours or in the background. Anything requiring a restart or an interruption is scheduled with you beforehand. Faults during consulting hours we take on immediately by remote maintenance — there, every minute counts differently than in an office.

What about our medical devices that no longer receive updates?

They are not replaced but segregated. A device without updates is manageable as long as it sits in its own network and may only talk to what it needs to talk to. That is exactly what separate networks are for — and the usual route when replacement is not technically or economically viable.

How long does a restore take if something really fails?

That depends on the data volume and the cause — which is why we test the restore instead of estimating it. After the first test we know the actual time for your practice and record it in writing. That single figure is worth more than any availability promise.
