IT for associations, municipalities and volunteer organisations

In an association nobody looks after the technology full time. There is someone who can do it, and they do — until they hand over the office. More is lost at that point than through any technical defect: passwords, domain access, membership lists, the account with the email provider. Not through ill will, but because it was never written down.

What is different for associations and municipalities

• Responsibility is voluntary and changes hands. Everything has to be set up so a successor can take over without the predecessor.
• The budget is decided annually. An ongoing contract is therefore often the wrong model — billing by effort is more honest and usually cheaper.
• Credentials belong to the organisation, not to a person. A domain on the former treasurer's private account is the classic that eventually gets expensive.
• Member data is personal data — the GDPR applies even in an association with forty members.
• There is often a clubhouse or meeting hall with equipment that is used twice a year and then has to work immediately.

• A handover document for the change of committee: which credentials exist, who holds them, how they are passed on
• Hall technology: projector, sound and connections set up so they work without instruction

Small budgets, honestly calculated

For associations the cheapest solution is nearly always the one nobody has to maintain. We therefore deliberately propose simple things: proven standard services instead of your own server, clear accounts instead of bespoke arrangements, a website that keeps running without us. Where grant funding is involved it usually helps to state the requirement once, in writing and with figures — we help with that without requiring an engagement in return.

The change of committee is the real emergency

Not the outage but the handover. If the outgoing secretary held the domain on a private account, was the only one who knew the email password and kept the membership list on his own computer, the new committee starts from zero — and in the worst case the association's address is gone after the next renewal. That can be sorted out in an afternoon while both sides are still talking. Afterwards it becomes laborious to impossible.

What it costs

For associations we usually bill by effort: €95 per hour, on-site work €120 per hour plus travel. Where ongoing support makes sense it costs from €29 per workstation and month, hosting with SSL and backups €15 per month, maintenance and updates €39 per month. A simple website starts at €350. Guide prices, net plus VAT — every piece of work is preceded by an estimate, so the audit has nothing to query.
